Privacy Policy

Last updated: October 25, 2026

Outvia is a product of JI Tech LLC. This policy explains what personal data JI Tech LLC ("Outvia", "we", "us") collects when you use Outvia, how we use it, and the choices you have. It covers our customers (people who sign up and use Outvia) and the contacts our customers upload and email.

1. Two roles, two kinds of data

  • Your account data. For information about you as an Outvia user, we are the controller.
  • Contact data you upload. For the prospects and contacts you import or add, you are the controller and we act as your processor. We only process that data on your instructions to provide the service. If you are a contact who received an email sent through Outvia, please contact the sender first. We will help them respond.

2. What we collect

  • Account details: name, email address, password (stored hashed by our authentication provider), company name, website, and workspace settings.
  • Sending account details: sender name and address, SMTP or IMAP host settings, usernames, passwords, and API keys you provide to connect your own mailboxes. Credentials are stored encrypted and are never shown back in full in the app.
  • Campaign content: websites you ask us to analyze, AI-generated strategies and sequences, templates, and settings.
  • Contact data: names, email addresses, job titles, companies, notes, tags, and similar fields you import or add.
  • Email activity: send logs, bounces, unsubscribes, and, if you enable reply sync, replies read from the inbox you connect.
  • Billing data: plan, billing status, and invoices. Card details are collected and stored by Stripe, not by us.
  • Technical data: IP address, browser type, device information, and basic usage logs needed to run and secure the service.

3. How we use it

  • To provide Outvia: build campaigns, send emails through your connected accounts, track replies, and show analytics.
  • To run test sends and DNS checks that you request, so you can confirm your sending setup works.
  • To process payments, manage trials and subscriptions, and enforce plan limits.
  • To keep the service secure, prevent abuse and spam, and enforce our Acceptable Use Policy.
  • To send you service messages such as security notices, billing receipts, and important product changes.
  • To improve Outvia using aggregated or de-identified usage information.

We do not sell personal data. We do not use your contact lists to email anyone on our own behalf, and we do not share them with other customers.

4. Legal bases (GDPR and UK GDPR)

Where GDPR or the UK GDPR applies, we process account data to perform our contract with you, to meet legal obligations, and for our legitimate interests in securing and improving the service. You are responsible for having a lawful basis, such as legitimate interest with a balancing test, for the contact data you upload and the outreach you send, and for giving recipients the information required by Articles 13 and 14.

5. Service providers we use

We share data only with providers that help us run Outvia, under contracts that limit their use of it:

  • Application hosting, database, and authentication providers.
  • AI model providers, to analyze websites and draft campaign content. We send only the information needed for the request.
  • Stripe, for payments and subscription billing.
  • The email providers you connect (for example your SMTP host or Resend), which deliver your emails and hold your inbox data under their own terms.
  • DNS lookup services, to check SPF, DKIM, and DMARC records for domains you connect.

We may also disclose data if required by law, to protect our rights or users, or as part of a merger or acquisition with notice to you.

6. International transfers

Our providers may process data in the United States and other countries. Where required, we rely on appropriate safeguards such as Standard Contractual Clauses.

7. Retention

We keep account and workspace data while your account is active. After you close your account or ask us to delete it, we delete or de-identify workspace data within a reasonable period, except where we must keep records for legal, tax, or security reasons. Unsubscribe and suppression records are kept so that people who opted out are not emailed again.

8. Security

We use encryption in transit, encrypted storage for sending credentials, access controls that limit data to members of each workspace, and monitoring for abuse. No system is perfectly secure, so please use a strong, unique password.

9. Your rights

Depending on where you live, you may have the right to access, correct, delete, export, or restrict processing of your personal data, to object to processing, and to complain to your local data protection authority. California residents have rights under the CCPA, including the right to know and to delete. To use any of these rights, email hello@getoutvia.com. We will respond within the time required by law.

If you received an email sent through Outvia and want to stop receiving emails from that sender, use the unsubscribe link in the email. Outvia records the opt-out and blocks further emails to you from that workspace.

10. Cookies

We use cookies and local storage that are needed to keep you signed in, remember your preferences, and protect the service. We do not use advertising cookies.

11. Children

Outvia is a business tool and is not intended for anyone under 18.

12. Changes and contact

We will post updates to this policy on this page and notify you of material changes. Also see our Terms of Service and Acceptable Use Policy.
